This Privacy Policy explains how Greenfield Dental collects, uses and protects your personal information when you visit dentalvietnam.vn, contact us, or become our patient. dentalvietnam.vn is a website operated by Greenfield Dental. This policy is written in line with Vietnam's Law on Personal Data Protection No. 91/2025/QH15 and Decree No. 356/2025/ND-CP (both in force since 1 January 2026). 1. Who we are

We are responsible for the personal information described in this policy. For any privacy question or request, contact us using the details above.

2. What information we collect

• Enquiry details you give us through the forms on dentalvietnam.vn: your name, email address, phone number, country, the treatment you are interested in and any message you write.
• Messages you send us by WhatsApp, Zalo, Facebook Messenger, Instagram or email, including any photos, X-rays, scans or medical documents you choose to share.
• Health information needed to plan and provide dental treatment, such as your dental and medical history, clinical photos and imaging.
• Travel and appointment details if you ask us to help arrange your visit (for example travel dates or airport pickup).
• Payment records for treatment you receive. We do not collect card details through this website.
• Technical and usage data when you browse this website: IP address, approximate location (country), device and browser type, pages viewed, and how you arrived (for example the advertising campaign you clicked, recorded as UTM parameters or click identifiers such as gclid or fbclid).

3. How we use your information

• To answer your enquiry, send you a quote and arrange consultations and appointments.
• To assess, plan and provide dental treatment, and to keep your clinical records.
• To follow up after treatment and provide aftercare.
• To understand which pages and advertising campaigns help patients find us, so we can improve our website and marketing.
• To meet our legal, tax and medical record-keeping obligations in Vietnam.

Health information is sensitive personal data under Vietnamese law. We process it only to provide care you have asked for, and only with your consent. You give consent by submitting our forms or by choosing to send us information and files through our messaging channels; silence or inactivity is never treated as consent. You can choose not to share clinical photos or documents before your visit; we will then assess you in person.

4. Advertising measurement (Google and Meta)

We use Google and Meta measurement tools to understand which of our ads help patients find us. If you contact us, we may share an encrypted (hashed) version of your phone number or email and whether you booked a visit — never any treatment or health details. Hashing turns your phone number or email into a one-way code before it leaves our systems, so Google and Meta can only match it against accounts they already know and cannot read it. You can opt out at any time by telling us (email [email protected] or message us on WhatsApp), and we will stop sharing your information for advertising measurement.

5. Cookies and tracking technologies

This website uses cookies and similar technologies from the following providers:

• Google Tag Manager and Google Analytics – to measure website visits and form submissions.
• Google Ads – to measure the results of our advertising.
• Meta Pixel (Facebook / Instagram) – to measure and improve our advertising.
• Cloudflare – to protect and speed up the website and to detect your country so our forms can pre-fill it.

Visitors from the European Economic Area, the United Kingdom and Switzerland are asked for consent before advertising and analytics cookies are used, and can accept or decline in the cookie banner. Everyone can block or delete cookies in their browser settings, use private browsing, and opt out of personalised advertising through Google Ads Settings and Facebook Ad Preferences. Blocking cookies does not stop you from using this website or contacting us.

6. Who we share your information with

We do not sell your personal information. We share it only with:

• Our dental team – dentists, patient coordinators and staff involved in your care.
• Service providers that operate our systems on our behalf: website hosting (Vercel), Cloudflare, our patient enquiry and messaging system (hosted on cloud providers such as Vercel, Supabase and Amazon Web Services), a backup copy of form enquiries in Google Sheets, email delivery (Microsoft 365), AI tools that help our team summarise enquiries and draft replies (Anthropic), and messaging platforms you choose to contact us on (WhatsApp, Zalo, Messenger).
• Google and Meta – only the hashed identifiers and booking status described in section 4, and the cookie data described in section 5.
• Dental laboratories and imaging partners when needed to make your aligners, crowns, veneers or implants.
• Travel partners (for example hotels or drivers) only if you ask us to help with your trip, and only the details they need.
• Authorities when the law requires it.

7. International transfers

Many of our patients live outside Vietnam, and some of our service providers store data outside Vietnam (for example in Singapore, the European Union or the United States). When your information is transferred abroad, we use providers that protect it with appropriate security and contractual safeguards, and we prepare and keep a cross-border transfer impact assessment as required by Vietnam's personal data protection law.

8. How long we keep your information

• Enquiries that do not lead to treatment: up to 24 months after our last contact, then deleted or anonymised.
• Patient and clinical records: for the period required by Vietnamese medical record regulations.
• Website analytics data: according to the retention settings of each analytics provider (typically 14 months).

9. How we protect your information

Access to patient information is limited to staff who need it. Our website and systems use encrypted connections (HTTPS), access controls and reputable hosting providers; photos and X-rays you upload are stored privately. If a personal data breach occurs, we will notify the competent authority and, where it may affect you, notify you as required by law. No system is perfectly secure, so please avoid sending highly sensitive information by email; you can share clinical files with your coordinator through a secure link instead.

10. Your rights

Depending on where you live, you may have the right to:

• ask for a copy of the personal information we hold about you;
• ask us to correct information that is wrong or incomplete;
• ask us to delete your information, unless we must keep it by law (for example clinical records);
• withdraw your consent, including to marketing messages and advertising measurement, at any time;
• object to or restrict certain uses of your information;
• complain to a data protection authority — in Vietnam, the Department of Cybersecurity and High-Tech Crime Prevention (A05), Ministry of Public Security;
• claim compensation for damage caused by a breach of personal data protection rules.

These rights apply under Vietnam's Law on Personal Data Protection No. 91/2025/QH15 and, where applicable, under the EU/UK GDPR, the Australian Privacy Act and similar laws in your country. To make a request, email [email protected]. We will reply without undue delay and within the time limits set by law, and may ask you to confirm your identity first.

11. Children

This website is intended for adults. Treatment for patients under 18 is arranged with a parent or legal guardian, who provides the information and consent on their behalf.

12. Changes to this policy

We may update this policy from time to time. The "Last updated" date at the top shows when it was last changed. Significant changes will be highlighted on this page.
